    We are hiring! You like to work with foreign students and young people from different countries? You are familiar with Western culture? We have a great opportunity for you. We are looking for another person to work with our accommodation department.

    Job type: Full time (Monday to Friday 8 hours per day / Flexibility is a must)

    Responsibilities

    Accommodation Department

    Reservation:

    • Responsible with accommodation inquiries & bookings via email, Whatsapp, Live chat, phone, walk-in guests.
    • Accommodation showing to potential customers, confirm and coordinate the reservation
    • Coordinate guest arrival and departure
    • Inform owner about arrival and departure date and time
    • Check accommodation condition before guest arrival (facilities provided in the villa does it match with the lease agreement)
    • Coordinate airport transfer with guests & drivers
    • Meet and greet the guests on arrival and departure
    • Implement check in and check out SOP (standard operation procedure)
    • Writing and signing rental contracts
    • Collecting rental payments, security deposit and refunding of security deposit
    • Updating missing information in booking table
    • Updating accommodation availability, price and facilities on websites and CRM


    Sales management:

    • Find potential accommodations (door-to-door and online research)
    • Taking picture and video for potential accommodations
    • Updating pictures for the existing accommodations listed on database
    • Building good relation with accommodation owners and clients
    • Resolving customer and partner issues (complaint management)
    • Regular check & visit of accommodation condition listed on the websites
    • Updating existing accommodation availability, price and facilities with accommodation owners


    Day-to-day operation in the office:

    • Replying WhatsApp accommodation inquiries
    • Being available in the live chat software during office hours
    • Responsible for answering the phone
    • Replying inquiry emails (accommodation inquiries and activity inquiries) during weekends and holidays (when it's required)
    • Maintaining functionality of the office (AC, office phone, internet, drinking water supply, electricity, computers, printers, etc)
    • Coordinate with office cleaning service for the office cleanliness
    • Responsible for office supplies and equipment groceries
    • Handling incoming and outgoing cash and credit cards payments
    • Checking of incoming and outstanding payments for accommodation bookings
    • Monitor inquiries & receiving of mail and package


    Excursion Department

    • Follow up activity inquiries (email, phone, WhatsApp, SMS, live chat)
    • Checking of incoming and outstanding payments and reports of excursions
    • Updating the activity webpage on the websites
    • Coordinate with the Excursion Departments regarding the payments on Paypal
    • Capture Paypal Payments and refund payments
    • Resolving customer and partner issues (complaint management)


    Qualifications

    • Good communication skills both verbal and written in English
    • Good communication skills both verbal and written in Indonesian
    • German language skills are a plus
    • Travel management experience or hotel management preferred
    • Bachelor degree, or equivalent work experience (preferred)
    • Excellent computer skills and proficient in Microsoft Office, Google Docs, spreadsheets, presentation, and email and computer softwares, etc
    • Ability to work at night, weekends and holidays, when it is needed
    • Driving scooter is a must
    • Able to work with target

    Relationships

    The Operation Assistant reports directly to the Operation Manager
